Third Party Email Client - Outlook 2013 with Dualog Account

INTRODUCTION

This document provides instructions for configuring Microsoft® Office Outlook® 2013 to work with Dualog® Connection Suite™ Ship via the Internet Message Access Protocol (IMAP) version 4.

PREREQUISITES

Before proceeding with the configuration, ensure the following prerequisites are met:

  • Outlook 2013 must be fully and correctly installed. If it's the first time using Outlook (and depending on various options chosen during the installation of Microsoft Office), you may be prompted for the installation disk for Microsoft Office.
  • Dualog Connection Suite must be fully and correctly installed. To ensure that the Outlook user’s account is present and configured as required, it is recommended to first send a test message using Dualog WebMail. (The user can send a message to themselves to verify that the account is correctly configured).

STEPS

  • Start Outlook (e.g. from the Windows program menu). By default, it is accessed as follows:
    Start / Windows > Microsoft Office > Microsoft Office Outlook

Note: When you start Outlook for the first time you might be prompted to import e-mail and account information from other (detected) e-mail systems. Select “Cancel” for each prompt presented.

  •  New Account Creation (Wizard)
    Select “File”. From the dropdown menu that appears select “Info”, “Accounts Settings” then “Account Settings...”

  • Select tab “E-mail” and click “New...”

  • Select option “Manual setup or additional serer types” and click “Next”:

  •  Select “POP or IMAP” and click “Next”:

1 Select account type IMAP
2 Display name (e.g. Vessel-Name – Rank / Role)
3 E-Mail address
4 Incoming mail server: this must be the IP address or the hostname of the Dualog PC in the same LAN of the computer that is currently being configured. This setting is not limited to Outlook and is valid for every mail client that can be used within the Dualog environment.
5 Outgoing mail server (SMTP): this must be the IP address or the hostname of the Dualog PC in the same LAN of the computer that is currently being configured. This setting is not limited to Outlook and is valid for every mail client that can be used within the Dualog environment.
6 E-Mail address (full e-mail address required – same as item 3)
7 Password

In “More Settings”:

  • Select the first tab “General” and enter a meaningful name for the new account – normally, this should include the vessel name and the rank / role for the account being created:

Click “OK” to save the settings. Ensure “Remember password” is enabled then click “Next”:

Click “Close” after Outlook has tested the configuration::

  • Click “Finish” to close the Add Account dialogue.

Outlook typically sends new messages to the on-board Dualog mail server immediately and performs periodic checks of the IMAP4 mailbox for newly received messages. However, depending on the company settings, there might be a delay before new mail becomes available on board.
